JOB DESCRIPTION

 

Accounts Payable Supervisor

 

MINIMUM QUALIFICATIONS:

 

1.         Employee will have completed 12 college hours of Accounting from an accredited institution of higher education or have at least 8 years of experience performing progressively difficult accounting tasks.

2.         Must be competent in the secretarial skills – typing, filing, and operation of            business machines.

3.         Must have general knowledge of computer software used by the school system      and accounting software as they apply to specific operations of accounts payable.

 

IMMEDIATE SUPERVISOR:   School Business Manager, Superintendent, or Designee.

 

SALARY:  Salary Class F/ AccountantIII

 

TERMS OF EMPLOYMENT:  240 day employment term

 

EVALUATION:  Performance will be evaluated annually in accordance with provisions of Board policy.

 

JOB GOALS:  Prepare accounts payable duties on a timely basis, maintain accuracy, and conform with Federal and State laws, district policies, and in accordance with executed contracts.

            b.         Willingly learns how to use new equipment, products, and techniques.

            c.         Is willing to adapt to changes in the job.

            d.         Is alert to the need for additional training and seeks such training.

            e.         Maintains knowledge of the following:

                        -  WV School Law that applies to the specific job assignment.

                        -  The Handbook for School Finance in West Virginia.

                        -  The Manual of Purchasing, Receiving, Inventory Control, and Accounts                              Payable.

                        -  Tax Laws regarding issuance of 1099 to accounts payable vendors.

            f.          Attends meetings called by the State Department of Education and other                           agencies concerning job relative functions.

 

 

PERFORMANCE RESPONSIBILITIES:

 

1.         Processes purchase orders and pays invoices upon approval.

2.         Monitors accounts payable budget line items.

3.         Processes payroll deductions in coordination with payroll coordinator.

4.         Maintains the inventory system with regard to State recommendation.

5.         Prepares and negotiates bid specifications as requested.  Recommends purchase     agreement for materials and services at lowest available cost based upon those          specifications.

6.         Assists Finance Department staff in preparation of budget and other reports or       duties as may be required.

7.         Backs up other staff in Finance Department.

8.                  Effectively performs detailed work involving written or numerical data, posts data, and makes mathematical computations rapidly and accurately.  Uses independent judgment and interpretive abilities, and identifies problems which require supervisory attention. 

9.         Performs other tasks as required.
